I am writing to you on behalf of Nitty Gritty Chopper City, an upcoming Campout three day event that is set to take place in Grapeland, Texas on March 20th - 22nd, 2025 , PRE PARTY March 20th.

As we prepare for the event, we are reaching out to companies like yours to seek sponsorship opportunities that will help us to deliver an unforgettable experience to our attendees. We believe that your company would make a great partner for our event, and we would be honored to have your support.

Our campout is expected to attract a large and diverse crowd, including music lovers, motorcycle enthusiasts and families. We will be featuring a variety of musical acts, a range of food and beverage vendors, as well as various activities and attractions for attendees to enjoy.

We are seeking sponsorship in the form of financial support, In return, we will offer a range of benefits, including exposure through event marketing and promotions, logo placement on event materials, and recognition as an official sponsor of the campout.

Our "Introductory Poster" for the March event will be Superseded by an EVENT POSTER by the middle of January which will DAMN SURE GIVE SPONSORS THEIR MONEYS WORTH DURING THE LAST 2 MONTHS BEFORE THE SHOW - (unless you take advantage of early payment & get we start advertising for you immediately)

Platinum Sponsor $10,000 - You logo will be the most prominent on the event poster. This includes multiple shout outs and two collaboration posts when we announce you as a sponsor with tags on the official Facebook Event Page & Instagram with photos, 1 pinned post untill the event is over, 10 Event booth Spaces & 20 Adult Admissions, An extra large banner placed at the Event & gifted to you after the event, Mentions in E-Mail Blast Advertisements using the event flyer with your logo on it.

Gold Sponsor $5,000 - You Get your Logo on the event poster. This includes at least 3 shout outs and one collaboration post when we announce you as a sponsor with tags on the official Facebook Event Page & Instagram with photos, 4 event Booth Spaces. and 8 Adult Admissions, A banner placed at the event & gifted to you after the event & previously mentioned email ads via event poster.

Silver Sponsor $2,500 - You get your logo on the event poster, this includes at least 2 shout outs and one collaboration post when we announce you as a sponsor on the official Facebook Event Page & Instagram with photos, 2 event Booth Spaces & 4 Adult Admissions, a banner placed at the event & gifted to you at the end and as previously mentioned email ads via event poster.

Bronze Sponsor $1,000 - You get your logo on the event poster, this includes 1 shout out when we announce you as sponsor with tags on the official Facebook Event Page & Instagram with photos, 1 event Booth space & 2 Adult Admissions, a banner placed at the event & gifted to you at the end as previously mentioned email ads via event poster.

Entry Level Sponsor $500 - this includes 1 shout out when we announce you as sponsor with tags on the official Facebook Event Page & Instagram with photos, 1 event Booth space & 2 Adult Admissions, a banner placed at the event & gifted to you at the end as previously mentioned email ads via event poster.

We will also be adding all sponsors logos to the the event shirts as well, but you must be paid in full by December 31st 2024

VENDOR AGREEMENT

Event Date: March 20th - 22nd, 2025
Nitty Gritty Chopper City is a rain or shine – No refunds are given.

Event Location: Salmon Lake Park - 247 Salmon Lake Rd, Grapeland, TX 75844

Set Up Times:
Thursday, March 20th
Friday, March 21st
From 9 am to 4 pm.
We strongly recommend setting up on Thursday. The event site is secure, and it is
patrolled by Nitty Gritty Staff. Please set up in your given spot, be courteous to your neighbors, and clean up your vending area before the show opens.
You will need to make camping arrangements with Salmon Lake Park for full hookups at your vending space otherwise you may camp at your vending space for free with your vehicle if it fits and you do not need power and water hookups. We recommend bringing a generator or battery banks to run electricity or charge devices.

Vending Info: All vendors must be selling or displaying items that are legal to purchase or sell without a permit or license, so no alcohol, drugs or weapons of any kind are allowed. All vendors are to have their own insurance. Nitty Gritty Productions, LLC is not responsible for personal injury, lost, stolen or damaged items. All vendors must provide their own displays, tents, tables, chairs, etc. They must all be secure and safe and meet all fire & amp; safety codes. Please stake your tents down. If you plan on doing anything with your vendor space other than standard selling or displaying goods, you will need pre - approval from Nitty Gritty Productions, LLC before a vendor space may be purchased. There are no dogs or pets of any kind allowed. There are no vehicles of any kind (except motorcycles) allowed in front of your vendor
spot unless pre-approved by Nitty Gritty Productions, LLC. If you have a large or unique display or special needs, please contact us for pre-approval before this agreement submitted.

Vendor Spaces: All vendor spaces are 10 x 20, no booth space sharing is allowed.
A 10 x 20 cost $200 (includes 2 admission tickets)
You can purchase your space(s) here. We need a screenshot of your payment and your agreed vendor form to secure your space.
Payments: Payments must be made asap.
*You do not have an official approved vending space @NITTYGRITTYCHOPPERCITY without payment & vendor agreement form submitted with payment.
General Info: Nitty Gritty Chopper City is a rain or shine event and there are No Refunds.
Vendor passes will be available upon arrival and check in. A 10 x 20 booth will get 2 vendor passes good for all days.
Breakdown: You can break down when the show ends on Sunday (3/23) or Monday morning (3/24).

LIABIITY RELEASE, INDEMNIFICATION & HOLD HARMLESS AGREEMENT

For purposes of the sections below, we will refer to you, the vendor, as “Exhibitor”. The Exhibitor who agrees to this contract and each person associated therewith (i.e. employees, spouses, guests, survivors, heirs, executors and representatives) herein agrees to indemnify, defend, hold harmless, and to release and forever discharge from any and all known and unknown damages, injuries, death, loss, liabilities,
claims, costs, penalties, demands, actions, causes of action, judgments, and liabilities of every kind and description (including court costs and attorney’s fees), occasioned by, resulting from, and/or related to conduct, actions, and/or omissions of anyone connected with this event, including: Nitty Gritty Productions, LLC , Salmon Lake Park, all other exhibitors/vendors at the event; and each of their respective owners, shareholders, officers, directors, employees, agents, staff, volunteers, independent contractors, or representatives. Exhibitor covenants and agrees that in the event Nitty Gritty Productions, LLC is made party to any litigation commenced by or against Exhibitor relating to this agreement, Exhibitor’s attendance at the event, or to the booth space provided to Exhibitor hereunder, then Exhibitor shall and will pay all costs and expenses, including reasonable attorney fees and court costs, incurred by or imposed upon Nitty Gritty Productions, LLC by virtue of any such litigation.

COMPLIANCE, GOVERNING LAW & VENUE AGREEMENT

The Exhibitor agrees to comply with all of the rules and regulations prescribed by Nitty Gritty Productions, LLC, Salmon Lake Park, and to meet all requirements of any state and local authorities, police, and fire departments, and to obtain at their own expense any necessary permits, insurance, licenses, or equipment should it be required for the lawful operation of the Exhibitor’s display/vendor space. Each party shall bear its own expenses in connection with this agreement and the transactions contemplated by it. This agreement sets forth the entire understanding of the parties with the respect to the subject manner of this agreement and supersedes any and all understandings and agreements, written or oral, between the parties with respect to such subject manner. This agreement may be amended only in writing executed by both parties. This agreement shall be governed by and construed in accordance with the laws of the State of Texas. If any suit or action is filed by any party to enforce this agreement or with respect to the subject matter of this agreement, venue shall be held in the Federal or State courts located in Houston County, Texas.

Salmon Lake Park, Nitty Gritty Productions, LLC and local law enforcement have a strict No Colors Policy (i.e., no displays or wearing of clothing, badges, signs, etc., relating to a gang or club) at the event site of the Nitty Gritty Productions, LLC event Nitty Gritty Chopper City, as well as all attendees, vendors, Exhibitors and staff must respect and abide by. We thank you in advance for your understanding and cooperation in this matter.
By submitting this payment for the vendor space you are agreeing to this legal document, you agree to all conditions and terms stated in the above.
